PAIA Manual
Manual published in terms of section 51 of the Promotion of Access to Information Act 2 of 2000 ("PAIA"), read with the Protection of Personal Information Act 4 of 2013 ("POPIA"). It tells you what records RealTeasy (Pty) Ltd holds and how to ask for access to them.

3. Guide on how to use PAIA

4. Records held in terms of other legislation
Records are kept under, among others: the Companies Act 71 of 2008; the Income Tax Act 58 of 1962 and the Value-Added Tax Act 89 of 1991; the Tax Administration Act 28 of 2011; the Basic Conditions of Employment Act 75 of 1997 and related employment legislation; the Consumer Protection Act 68 of 2008; the Electronic Communications and Transactions Act 25 of 2002; and POPIA. Records held under other legislation are not automatically available under PAIA.
5. Categories of records held
5.1 Company and statutory records
Founding documents, CIPC filings, share and director records, board resolutions, insurance, and licences.
5.2 Financial records
Annual financial statements, accounting records, tax returns and assessments, bank records, supplier invoices, and customer payment and subscription records.
5.3 Employment records
Employment contracts, payroll, leave, disciplinary records, and contractor agreements.
5.4 User and customer records
- Account records: name, email address, password hash, marketing preferences, and the record of your acceptance of our Terms (version, timestamp and IP address).
- Reports you generated, with the inputs behind them: listing URLs, property details, notes, photographs and any documents you uploaded.
- Snap & Scan records: board photographs and the coordinates captured with them.
- Portfolio, watchlist, lead and offer records you created.
- Subscription, credit-balance and payment records.
- Support-chat conversations and related technical telemetry.
- Usage and visit analytics, at the level your cookie consent allows.
5.5 Market and analytical records
Anonymised property and suburb observations derived from public listings and published statistics, index data, archived public pages, and the outcome ledger recording past estimates against later observed prices. These records are about properties and areas, not about identifiable people.
5.6 Operational and technical records
System and error logs, security and rate-limiting records, backups, deployment records and third-party service configuration.
5.7 Legal and compliance records
Contracts with service providers, correspondence, complaints and take-down notices, and regulatory correspondence.
6. Processing of personal information (POPIA)
6.1 Purpose
To create and manage accounts; generate the reports you request; monitor listings and properties you track; enforce free-tier and subscription limits; process payments; provide support; communicate with you and, where you have consented, market to you; detect and prevent abuse; and comply with legal obligations. Full detail is in our Privacy Policy.
6.2 Categories of data subjects
Registered users; prospective users who make an enquiry; employees and contractors; suppliers; and estate agents whose names appear on the public listings we analyse.
6.3 Categories of personal information
Identity and contact details; account credentials in hashed form; property addresses and details you submit; photographs and documents you upload; geolocation captured with a Snap; payment metadata (never card or bank details, which are held by our payment provider); correspondence; and usage and device data.
6.4 Recipients
Third-party AI and web-search providers used to produce reports and support answers; Stitch (payments); Google (address autocomplete, optional sign-in, reCAPTCHA); email delivery providers; Firebase Cloud Messaging (push notifications, if enabled); hosting and infrastructure providers; and our professional advisors where required.
6.5 Cross-border transfers
Producing a report involves sending content to AI providers whose processing takes place outside South Africa, including in the United States. These transfers are made under section 72 of POPIA, on the basis that the transfer is necessary for the performance of our contract with you, and subject to contractual terms binding the recipient to protect the information.
6.6 Security measures
TLS in transit; hashed passwords; access controls on production systems; hashed identifiers for rate limiting rather than stored IP addresses; and no storage of card or bank details.
7. How to request access to a record
Complete the prescribed Form 2 (Request for Access to Record of Private Body), available from inforegulator.org.za, and send it to the Information Officer at hello@realteasy.co.za.
Your request must identify the record sought, identify you and give a contact address, specify the form of access required, and, where you are requesting access in order to exercise or protect a right, identify that right and explain why the record is required to exercise or protect it.
We will decide within 30 days and notify you of the decision, the fees payable and your right to appeal or to apply to court. That period may be extended by a further 30 days where the request is for a large number of records or requires a search of records held elsewhere.
If you only want your own personal information, you do not need PAIA. Your POPIA rights of access, correction and deletion are self-serve from your account settings or by emailing hello@realteasy.co.za, and are free.
8. Grounds for refusal
A request may be refused on the grounds set out in Chapter 4 of Part 3 of PAIA, including the mandatory protection of a third party's personal information; the protection of commercial information of a third party or of ourselves (including trade secrets and information whose disclosure would put us at a commercial disadvantage); records privileged from production in legal proceedings; the protection of research information; and requests that are manifestly frivolous or vexatious or would involve a substantial and unreasonable diversion of resources. Where a ground of refusal applies to only part of a record, access is given to the remainder.
9. Fees
The fees prescribed under PAIA apply: a request fee payable on submission of a request other than a request for your own personal information, and thereafter an access fee for reproduction, search and preparation. Current prescribed amounts are published by the Information Regulator. We will tell you what is payable before proceeding, and may require a deposit where preparation is expected to exceed six hours.
10. Complaints and remedies
If you are dissatisfied with a decision on a request, you may lodge a complaint with the Information Regulator or apply to a court. The Regulator's details appear in section 3 above.
11. Availability and updates
This manual is available on this page free of charge, and on request from the Information Officer in electronic or printed form. It is reviewed at least annually and whenever our processing changes materially. The version and effective date at the top of this page identify the current edition.
